Who we are

The Offline Room (“we”, “us”, “our”) is a premium event space located at 111C King George Avenue, Singapore. We are the data controller for the personal information described in this policy. If you have any questions, please contact us at admin@offlinesg.com.

Who this policy applies to

This policy applies to anyone who:

  • Sends us a direct message on Instagram (@THEOFFLINEROOM)
  • Contacts us via WhatsApp
  • Browses or interacts with this website

It specifically covers our automated Instagram assistant, which handles initial enquiries and booking requests on our behalf.

Information we collect

When you message us on Instagram or WhatsApp, we may collect:

  • Instagram identity — your Instagram-assigned user ID, public display name, and public @username, retrieved from the Instagram Graph API
  • Message content — the full text of every message you send us and our replies to you
  • Phone number — your WhatsApp number, collected if you proceed to book a site visit or make an enquiry via WhatsApp
  • Event details — event type, preferred date, number of guests, and session timing, provided by you during the enquiry process
  • WhatsApp chat history — if you share a WhatsApp conversation with us, that content is stored alongside your Instagram messages to give us full context of your enquiry

We do not collect payment card details, government identification, or any sensitive personal data through these channels.

How we use your information

We use the information we collect to:

  • Respond to your enquiry and answer questions about our space
  • Generate a pricing quote tailored to your event
  • Schedule and confirm site visits
  • Follow up on your booking request via WhatsApp
  • Maintain a record of our conversation for continuity of service
  • Internally assess enquiry outcomes (e.g. whether a booking was confirmed) to help us improve our service — see the section on automated processing below

We do not use your information for marketing to third parties, sell it, or use it for any purpose unrelated to your enquiry with The Offline Room.

Automated processing & AI

Our Instagram assistant is powered by artificial intelligence. When you send us a DM, your message is processed by Claude (made by Anthropic) to generate a reply. After a conversation concludes, the full transcript may also be sent to Claude to automatically assess the outcome of the enquiry (for example, whether a booking was won or lost and why).

This automated analysis is used solely for internal business improvement. It does not produce any legal effect on you, and a human member of our team can always step in — if you prefer to speak to a person directly, just say so and we will take over the conversation immediately.

Who we share your information with

We use a small number of trusted third-party services to operate our assistant. Your data may be processed by:

  • Meta (Facebook / Instagram) — the platform through which messages are sent and received. Subject to Meta’s own Privacy Policy.
  • Anthropic — the AI provider whose Claude model generates our replies and analyses conversation outcomes.
  • Supabase — our database host, where conversation history, contact details, and event information are stored securely.
  • Google (Calendar & Sheets) — site-visit appointments are added to Google Calendar; qualified lead details are mirrored to a private Google Sheet for our internal records.
  • Telegram — our team receives internal notifications (including your name, @username, and enquiry details) via a private Telegram bot when escalation or follow-up is needed.
  • Vercel — the cloud platform that hosts and runs our assistant. Message processing passes through Vercel’s infrastructure.

We do not sell, rent, or disclose your data to any other third parties.

How long we keep your data

We retain conversation history and contact details for as long as reasonably necessary to manage your enquiry, fulfil any booking, and handle any follow-up queries. If you would like your data deleted sooner, please email us at admin@offlinesg.com and we will action your request promptly.

Your rights

You have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data
  • Withdraw consent to further automated processing at any time

To exercise any of these rights, email admin@offlinesg.com. We will respond within 30 days.

Data security

Access to stored data is restricted to authorised members of The Offline Room team and our trusted service providers. All data is transmitted over encrypted connections (HTTPS/TLS). Our database is access-controlled and not publicly accessible. If you believe a security incident has occurred, please contact us immediately at admin@offlinesg.com.

Changes to this policy

We may update this policy from time to time. When we do, the “last updated” date at the top of this page will change. Continued use of our Instagram DM channel or this website after any update constitutes acceptance of the revised policy.
